The Busylight UC boasts a range of features, all of which are easily accessible.

When employing an indicator light to aid decision-making, three crucial factors come into play:

  1. The Busylight should be prominently visible to everyone in the office.
  2. It should seamlessly operate across multiple platforms simultaneously.
  3. To ensure stability, the Busylight must consistently perform its designated tasks.

General System Requirements

Busylight UC Software

The Busylight software is available in various editions known as kuando Premium software.

Each kuando Premium software edition is designed for a specific UC Platform, such as Microsoft Teams, Webex, RingCentral, Zoom, Slack, etc.

Make sure to obtain the release that corresponds to your specific UC Platform.

  • kuando Premium Software are available for Windows 7 to Windows 11, 32 and 64-bit systems

How to implement Busylights

successfully

Rules of engagement - Success begins with respect!
  • Before installing the Busylights agree to some simple guidelines so everyone has a uniform understanding of the concept
  • Emphasize the importance of respecting the color guidelines
  • To ensure good workflow, agree on which tasks require “do not disturb” and which ones require only “busy”
  • Consider if the use of “do not disturb” should be limited to e.g. 1-2 hours per day
  • Inform surrounding teams and management about the guidelines
Ringer policy – agree on the ringer setup that is ideal for your office
  • Ringtones – “do we all have the same, do we choose our own, or do we all have different ones”?
  • Sound/Mute – Is sound required at all or is the visual cue enough to notice calls?
  • Volume: If sound is enabled what is the ideal setting for us?
Mounting the Busylight correctly
  • Make sure the Busylights are placed where they are most visible to colleagues – also from a distance. On the table is a no-go, while good practice could be on top of the monitor, a cubicle or on partitions.
Install all Busylights at the same time
  • Improving the adoption of the presence-aware concept
Make your team ready and enthusiastic
  • Let your team personalize the Busylight (Alpha only) with labels containing statements and quotes.
  • You can also get labels customized with your own company logo or slogan for the attachable “billboard”. Read more about labels and “billboards” here.

kuandoHUB

Why do I need the kuandoHUB?

For multiple reasons:

  • If you’re using more than one platform frequently and simultaneously, then you need the kuandoHUB to prioritize which platform(s) dictate the presence of your Busylight.
  • The kuandoHUB is a very handy tool in optimizing your workflow, with Hotkeys, kuandoTIMER, Outlook Options and much more.
  • In general, it makes your Busylight more customizable

FAQ

What are some ways to Busylight issues?

There are a few ways to see if minor faults are easily fixed. These faults can occur if new variables have been introduced into the Busylight environment. You could try some of these methods:

  • Reset the Busylight presence by right-clicking the appropriate Busylight icon and press ‘Reset’.

  • Check to see if there’s a new version of your software available from plenom.com here.
  • A good old fashioned reboot of your PC could do wonders.
  • If you’ve recently started using another softphone with Busylight (1< total), you need to use the kuandoHUB to prioritize platforms. Get it here.
  • If you’re migrating from Skype for Business and you’ve recently uninstalled the application, this is probably why. Skype for Business needs to be installed on your PC, as a major part of the Presence API for Office lies within S4B. It doesn’t need to be running, but it has to be installed.

MS 365

Can I limit the number of bookable rooms imported from the MS 365 Tenant?

No, the API provided by Microsoft imports all meeting rooms defined in the MS 365 environment. You can use the search or sorting functions to adjust how the rooms are listed in the Portal

I do not have a Microsoft login. Can I use another admin login for the WorkSpace?

No. To ensure a high level of security, we at this point only offer admin login with Microsoft Entra ID, previously Active Directory.

Why must a Microsoft administator give initial consent?

The WorkSpace solution needs access to your Microsoft tenant to retrieve information about booking status of your rooms. For security reasons consent to access your room data, can only be given by appointed Microsoft administrators in your company.

Can I change the red and green colors for occupancy and availability?

No, at this point the solution does not provide customized colors

Use the adhesive tape included in the package to install the Busylight in the best visual overview placement in your office. For rooms typically over the door and for desks near walkways to ensure visibility. For desks, both under, on top of desk or cubicle mounting can be considered

Can I have more than one Busylight attached to a space?

Yes, you can have up to 3 Busylights per space.

What type of Gateways are used?

We use gateways from Tektelic, Kerlink and Browan. All gateways are configured to be used for Busylight Workspaces and ready to deploy.

Can I use my own LoRaWAN infrastructure and gateways for Busylight WorkSpaces?

Yes. In the Portal, under My Tenant, you can customise the LoRaWAN Network Server(LNS) used. Default server is the Plenom TTN instance, but you can change server type, adress, application ID and key to connect to your own infrastructure. Please note that you also configuration in the LNS is required. Please use documentation available for this.

How many Gateways do I need?

As a rule of thumb, you need 1 gateway per office floor, but it highly depends on placement and construction materials used for the office. In offices with light wall construction, a range of up to 100m is possible, but concrete and brick walls will limit the range.

Can the solution be used to any type of space or room?

Yes, in general the solution works for any type of flexible room or space, where the availability/occupancy can be controlled by a motion sensor.

No, at this point the solution does not provide customized colors

Can the grace time (time until the Busylights switches from red to green) be adjusted?

Yes, depending on use case requirement the grace time can be adjusted on sensor level (time without any motion detected until a no-motion/green light is triggered) Default grace time is 5 min.

Go to Room Sensor -> Edit button -> Send PIR Grace Period field.

Is there a difference between flexible rooms and flexible desks?

Technically it is set up to function in the same way. The only difference is in metadata on how to describe the the spaces. Room Name vs Desk name.

Installation

How and where do I mount the Busylight?

Use the adhesive tape included in the package to install the Busylight in the best visual overview placement in your office. For rooms typically over the door and for desks near walkways to ensure visibility. For desks, both under, on top of desk or cubicle mounting can be considered.

How and where do I mount the Sensor?

The sensor must be mounted in a place where it has the best sight to view occupancy motions, but without detecting ghost or false positive motions.

In a room, good spots are the ceiling or above the door catching people entering the room. On the desk centrally under the table, with the eye pointing down. The sensor eye reaches approximately 3 meters/9 feet.

Can I move a sensor and Busylight to another space

Yes. Any Busylight or sensor can be used in any space as long it is registered in the Portal. Make sure it is not mapped to any space. Then you can map it to any new or existing space of your choice.

Can I have more than one Busylight attached to a space?

Yes, you can have up to 3 Busylights per space.

Can I have more than one motion sensor attached to a Flexible space?

No, only one sensor can be attached to a flexible space.

I already have another motion sensor in the room. Can that one be used?

LoRaWAN based PIR sensors from Browan or Tektelic can be used in our solution. Any other PIR sensor can not be used.

The kuandoHUB is a multi-UC Platform software that gives you control over how or what your Busylight reacts to as well as control color presence and sound alerts. The software is developed for both macOS and Windows.

How to Download the kuandoHUB

In this video you’ll find out how and where to download the kuandoHUB.

Make sure you download the software to the right platform (Windows or macOS).

How to use Platform Priorities (Windows)

In this video you’ll be shown how to use Platform Priorities.

If you use more than one UC platform (Teams, Zoom, Outlook etc.) then you can choose which platform should have priority.

The Busylight then reacts to the chosen priorities.

The Manual Controls allow you to fully customize the Busylight and set Hotkeys for different statuses.

How to use kuandoTIMER

(Windows & macOS)

In this video, you’ll be shown how to use the kuando Timer.

The kuando Timer is inspired by the Pomodoro Technique, where you work focused on a task for a certain amount of time before taking a short break and going back to the task.

You can customize the Busylight to show one color when doing your task and another when you are on a break.

This also lets your colleagues know that you are busy and should not be interrupted.

How to use Outlook Options (Windows)

Here you can decide which Outlook event the Busylight must display.

How to use Advanced Settings (Windows)

Here you can configure an HTTP interface and set the default start page.
