How J. Lauritzen reduced interruptions and increased productivity by bringing Teams presence into the physical office

Results

  • Higher productivity. Better protection of uninterrupted work time.
  • Fewer interruptions. “Busy vs available” became visible at a glance.
  • Presence became a habit. Staff became more aware of their own and colleagues’ status.

3 quick facts

  • Industry: International shipping

  • Team size: 200+ users (Copenhagen HQ)

  • Rollout approach: Company-wide deployment after moving from desk phones to softphones

The situation

J. Lauritzen replaced desk phones with softphones and wanted to make full use of Microsoft Teams, especially presence. Their Copenhagen office has around 200 employees working in open-plan groups of 8 to 10 people. In that setup, collaboration is easy. So are interruptions.

The problem in human terms

Teams presence only works if people notice it. On-screen presence is often ignored. In an open office, the interruption happens in the physical world. People walk up, tap shoulders, and assume availability. That creates fragmented days and constant context switching.

The constraints

  • Open-plan layout: Small team clusters increase walk-ups and quick questions.

  • Softphone transition: Call alerts and call handling needed to feel reliable without desk phones.

  • Behavior change: Presence needed to become part of daily etiquette, not just a Teams feature.

  • Scalable approach: It had to work for everyone, not only power users.

The solution

J. Lauritzen decided that all staff should have kuando Busylight. Mounted on each monitor, Busylight made Teams presence visible where it matters. right in the line of sight of colleagues.

Busylight fit into the workflow by:

  • Surfacing busy vs available status physically

  • Reinforcing Teams presence as a shared signal

  • Adding silent call alert flashes to support the softphone setup, both for seeing your own call and understanding which call you’re picking up

Rollout

  • Deployed to all staff in the Copenhagen office (200+ users)

  • Anchored around a simple rule: if the light indicates busy, don’t interrupt. time the question

  • Expanded beyond HQ with rollout to the Singapore office as well

Results

  • Fewer interruptions and increased productivity because employees could work uninterrupted when needed

  • Presence became “on the agenda.” Employees became more aware of their own status and colleagues’ availability

  • Improved call handling experience through silent call alerts, reducing missed or misrouted calls in the open office

What they would tell another buyer

If you want Teams presence to actually change behavior, you need to make it visible in the room. Busylight helps turn presence from a setting into an everyday workplace habit.

“We saw the potential of presence in Teams to improve the work environment and increase productivity. We wanted to make ‘presence’ a part of everybody’s mind-set. And it quickly became clear that we had to bring presence out into the physical world.”
